Crisis Resource Management

Guide to maintaining accurate and helpful crisis resources

Why Resources Matter

Accurate resources save lives

Crisis resources are lifelines. When a first responder is in crisis, having immediate access to accurate phone numbers, websites, and support services can make the difference between getting help and spiraling deeper. As an admin, maintaining this database is one of your most critical responsibilities.

Adding New Resources

Access the Resource Manager

  1. Go to Admin Dashboard
  2. Click "Crisis Resources" tab
  3. Click "Add New Resource" button
  4. Fill out the resource form

Required Information

  • Name: Official name of the organization or hotline
  • Category: Mental health, substance abuse, suicide prevention, etc.
  • Phone Number: Include 1-800 prefix, verify it's correct
  • Website: Full URL including https://
  • Description: Clear explanation of services offered
  • Availability: Hours of operation (e.g., "24/7" or "Mon-Fri 9am-5pm")
  • Scope: National or Local
  • Location: If local, specify city/state

Writing Good Descriptions

✅ Good Example

"24/7 crisis support for first responders experiencing suicidal thoughts, PTSD, or trauma. Trained counselors who understand law enforcement, fire, and EMS work. Completely confidential."

❌ Poor Example

"A hotline for help."

Resource Categories

Proper categorization helps peers quickly find the right resource during sessions.

Mental Health

General mental health support, counseling, therapy referrals

Suicide Prevention

Crisis hotlines specifically for suicidal ideation

Substance Abuse

Addiction support, rehab programs, recovery resources

Trauma Support

PTSD treatment, critical incident stress support

Family Support

Marriage counseling, parenting help, family services

Financial Aid

Financial assistance programs, debt counseling

Legal Assistance

Legal aid, rights protection, advocacy

General

Catch-all for resources that don't fit other categories

Verifying Resource Accuracy

Before Adding a Resource

  1. Call the phone number: Verify it's working and reaches the right service
  2. Visit the website: Ensure it's active and provides the described services
  3. Check operating hours: Verify if they're truly 24/7 or have limited hours
  4. Read recent reviews: Search online for feedback about the service
  5. Verify specialization: Confirm they serve first responders if claimed

Red Flags to Watch For

  • Phone number goes to voicemail or wrong organization
  • Website is down or hasn't been updated in years
  • No clear information about services provided
  • Requires payment for crisis support (genuine crisis lines are usually free)
  • Negative reviews citing unhelpful staff or long wait times

⚠️ Critical

Never add a resource you haven't personally verified. A wrong phone number during a crisis could have tragic consequences.

Regular Maintenance

Monthly Review Schedule

  1. Week 1: Review all suicide prevention resources (most critical)
  2. Week 2: Review mental health and trauma resources
  3. Week 3: Review substance abuse and family support
  4. Week 4: Review financial, legal, and general resources

What to Check During Review

  • Call phone numbers to verify they're still working
  • Check websites are active and content is current
  • Update operating hours if they've changed
  • Remove outdated or defunct resources
  • Add newly discovered resources
  • Update descriptions based on service changes

Updating Existing Resources

  1. Find the resource in Crisis Resources tab
  2. Click "Edit" button
  3. Make necessary updates
  4. Add admin notes about what changed and when
  5. Save changes

Deactivating Resources

If a resource is no longer valid:

  • Don't delete it immediately (preserves history)
  • Toggle "Is Active" to OFF
  • Add admin note explaining why (e.g., "Phone disconnected as of Jan 2026")
  • Find a replacement resource if possible
Essential National Resources

Adding Local Resources

Why Local Matters

Local resources offer in-person support, which can be crucial for:

  • Face-to-face counseling and therapy
  • Support groups with other first responders
  • Rehab facilities and inpatient treatment
  • Legal aid offices
  • Financial assistance programs

Finding Local Resources

  • Contact local first responder unions/associations
  • Check with county mental health departments
  • Search "first responder support [city name]"
  • Ask peers in your network
  • Contact local EAP (Employee Assistance Programs)

Location Details

For local resources, include:

  • City and state (e.g., "Seattle, WA")
  • Service area if broader (e.g., "Serves all of King County")
  • Physical address if it's an in-person service
  • Parking/accessibility information if relevant
How Peers Use Resources

During Live Sessions

  • Peers see a "Resource Recommender" panel in the chat interface
  • They can search by category or keyword
  • They select relevant resources and click "Send to Responder"
  • Resources appear in the chat with full details
  • Responders can view recommended resources after session ends

Auto-Recommendations

The system can auto-recommend resources based on session keywords. This happens after the session when:

  • Keywords match resource categories
  • Peer didn't manually recommend resources
  • Helps ensure responders always leave with something

Responder Access

  • Responders can browse all resources anytime via "Crisis Resources" page
  • They see resources recommended specifically to them in "My Resources"
  • Both peers and responders can access the crisis resources list
Resource Management Best Practices

✅ Do

  • Verify every resource personally
  • Update regularly (monthly minimum)
  • Write clear, detailed descriptions
  • Include both national and local resources
  • Keep phone numbers formatted consistently
  • Note if services are first-responder specific
  • Test all websites before adding

❌ Don't

  • Add resources without verification
  • Leave outdated resources active
  • Use vague descriptions
  • Forget to check hours of operation
  • Add resources with broken websites
  • Ignore peer feedback on resources
  • Delete resources without documenting why

💙 Final Reminder

This database is a lifeline. Every resource you add or update could be the one that helps a first responder in their darkest moment. Take this responsibility seriously, and maintain these resources with care and diligence.
